Overview : EY decided to relocate 750 employees to a new office to create a more dynamic work environment. The project required careful planning, employee engagement, and change-management strategies. The team coordinated the move to ensure a smooth transition.

Objectives

  • Relocate 750 employees successfully.

Process

  1. Needs assessment:We conducted comprehensive surveys to collect employee needs and preferences. The survey results informed design decisions.

  2. Engagement workshops:We ran meetings with virtual mock-ups of the new floors. Employees gave real-time feedback and we made iterative adjustments with the architecture firm.

  3. Physical mock-up:We set up a physical mock-up on one floor so employees could experience the new layout. The mock-up helped test functionality and gather concrete feedback.

  4. Ergonomics sessions:We partnered with an ergonomist to run sessions on proper furniture use and chair adjustment. These sessions supported employee comfort and productivity.

  5. Reservation system training:We created training materials and ran sessions to show employees how to book desks and meeting rooms. The training included guided demonstrations.

  6. Move day:We organized a full welcome plan for move day. Staff provided on-site support to answer questions and solve immediate issues.
